How does Dynamic DSM solve challenges faced by DSM Program Staff
DIGITAL DOCUMENT MANAGEMENT
I don’t have a system to track and approve documents that are required for each type of application and/or measure. So I’ve got to do quite a bit of manual checking.
In essence, I would like to have a document management tool that saves me time and makes it easy to review and approve documents.
Dynamic DSM allows Program Managers and Admins to design programs such that specific documents can be defined as conditionally required.
The conditions for requiring a document to be uploaded are [a] the Program [b] the Application Type [c] the selected Measure [d] project attributes/conditions.
Documents can be defined as either required or recommended.
Documents can be defined as required at any specific milestone of the application or project.
SECURITY, CHECKS & BALANCES
Dynamic DSM provides a configurable system of checks and balances for documents.
The system also allows admins to determine which users have access to each document.
Documents can easily be uploaded via each of the various user portals.
Our team does a lot of double data-entry — and is forced to work within multiple software environments, some of which are very antiquated or complicated. This leads to frustration for our team as well as potential human error.
In essence, I would love to be able to work within a single software system that is seamlessly integrated with our other software platforms.
Built on the Microsoft Dynamics integrations framework, Dynamic DSM integrates with SAP, ORACLE, Salesforce, and much more.
Dynamic DSM becomes the central software tool that handles all day-to-day operations for the DSM team.
Dynamic DSM syncs with external systems such as SAP to receive or send data. These synchronizations are handled via the API or SSIS.
Program staff is able to clearly understand their duties because they can work within one single system all day long.
The whole reason for getting a tracking system is to handle all your program processes in an intuitive manner and in a single interface. Dynamic DSM is the only system on the market that actually achieves this.
We spend way too much time [a] manually typing in applications [b] manually following up on documentation [c] and babysitting applications.
In essence, I want a system that provides me a queue of items that I need to work on — and provides me simple automations to support my tasks.
We work with clients to define the “system of record” for each process. Typically SAP/CC&B [a] remains the system of record for Customer information (Accounts, Premise, etc.) while Dynamic DSM becomes the system of record for Projects, Programs, Applications, Leads, Marketing, etc.
In this way, the synchronizations provide more purpose than simply copying records back and forth. Fields in our system get locked down (not editable) if they have been synced from an external system of record.
Program staff now have clearly defined business processes where the system of record is defined and purposefully supports the day to day operations of the PM and her staff.
Users can rest assured that the data is unified across all platforms.
Program Managers are confident that their staff will no longer be frustrated by redundant data entry.
RUNNING COST-EFFECTIVENESS TESTS
I don’t have an easy way to check the Cost-Effectivenes of a project or its measures. Instead I am forced to put my data into a different system in order to see my results.
Simply put, I would like to be able to hit a button to run Cost-Effectiveness tests at the Program, Project, or Measure level — and get immediate results.
COST-EFFECTIVENESS CONFIG ENGINE
We developed a completely configurable engine to allow each Program Manager to create unlimited configurations and use any desired set of fields and queries for each component.
This supports program modeling in a flexible manner that you have not seen before.
MEASURE & PROJECT TRC/PAC TESTING
Program Managers are now able to configure different CE Input Fields for each program, as well as run each Measure against a different configuration.
PM’s are able to choose whether or not to include Program Level costs on each test run – as well as setting defaults.
Program Staff can run Cost Effectiveness tests across multiple measures or projects at the same time as well as on across programs or within subsets of programs.
I don’t have a clear list of all the tasks that are assigned to me or my team. My open items are not clearly defined in terms of priority. I am not notified when things are overdue or assigned to me.
In essence, I need a single view that shows me all of my open items, sorted by priorities and dates.
BUILT-IN DASHBOARD DESIGNER
Built on the Microsoft Dynamics configurable views framework, Dynamic DSM dashboards allow [a] admins to design dashboards for all types of user groups [b] users to copy existing dashboards and make adjustments as needed [c] save personalized dashboards [d] share personal dashboards with other users as desired.
Program staff is able to easily and quickly copy, modify and share Dashboards of all types, including lists, charts, graphs and more.
I am not able to easily link my emails into the DSM system so that everyone has access and can review. I am not able to link my calendar, appointments, tasks into the tracking system.
In essence, I want to my DSM tracking system to seamlessly integrate with Outlook.
OUTLOOK PLUGIN FOR DYNAMICS
Built on the Microsoft Dynamics framework, the Outlook plugin allows users to synchronize data between Outlook and Dynamic DSM.
The Outlook plugin also allows users to associate inbound and outbound Outlook email with Dynamic DSM.
Outlook Notes, Tasks, and Contacts can also be synced as per admin preferences.
Program staff is empowered to work within tools they are comfortable with such as Microsoft Outlook, Microsoft Excel, Microsoft Word, Microsoft SharePoint, Microsoft Power BI, and more.
We are not able to truly work from home within a single system. Instead we have to sign into multiple systems and go through multiple security requirements.
In essence, it would be nice to have access to the data and perform data mining activities. It would also be useful if the system automatically tracked the marketing source for each Project
Built on Microsoft Dynamics framework, users leverage the built-in security functionality that includes double-authentication as well as numerous other features.
Users are also able to log in through the Portal to access their data and perform their duties.
FLEXIBILITY WITH CONFIDENCE
Program staff are empowered to work from multiple devices, multiple browsers, as well as multiple locations.
CRM & COMMUNICATION CAPABILITIES
Our current system does not provide the complexity we need to easily collaborate with others on Projects/Applications. We cannot restrict access from some users while also sharing access with other users.
In essence, before I communicate with a Key Account customer, it would be nice to know if another contact at the customer is for any reason upset at us. I want to be able to track emails — as well as log Notes, Calls, and Tasks.s.
Built on the Microsoft Dynamics CRM framework, Dynamic DSM allows multiple types of users to collaborate with respect to Key Accounts as well as large Projects.
Program staff is able to collaborate with service staff, outside inspectors, evaluators, trade partners, distributors, delivery agents, and customers.
Users are able to utilize the full CRM capability of Microsoft Dynamics..
